Reports to: Executive Assistant Location: Garden City, NY
JOB SUMMARY:
This part time Office Coordinator’s role, is to administratively support the Garden City, NY headquarters, which involves performing a variety of administrative and office activities associated with the operation of the business.
ACCOUNTABILITIES:
- Arrange, help prepare (if need be) and distribute meeting materials for all department related meetings including committee, board and shareholder meetings
- Office responsibilities include cleaning, ordering / stocking supplies, tracking inventory (technology), receiving deliveries, shipping and distributing mail
- Organize and order catering for meetings
- Process monthly expense reports for purchased items
- Serve as a liaison to outside vendors, including hotels, caterers, etc
- Maintains a neat and safe work area
- Performs other duties as assigned
Additional Duties
May perform additional duties as assigned by supervisor from time to time.
Education/Experience Required
- High School Diploma
- 3 years of experience working in a professional office setting
- Shipping / Receiving / Inventory Control experience needed
Required Skills / Licenses
- NY State Driver’s License (and vehicle)
- High attention to detail, demonstrates accuracy and thoroughness in daily work and other projects.
- Experience in shipping applications (FedEx, UPS, etc), Microsoft Word, Excel, PowerPoint and Project Plan
- Experience with general office equipment
- Excellent organization skills.
- Possess the ability to prioritize and handle multiple tasks with simultaneous deadlines
- Ability to be detail-oriented and self-motivated
- Strong communication skills and customer service focus
- Ability to identify problems and recommend solutions
- Ability to establish and maintain effective/positive working relationships with management, staff and others.
- Willingness to perform all duties as assigned
